What it does
Organised by client or matter
SharePoint and Teams spaces are set up around each client or matter, so people find files quickly and nothing ends up in personal folders.
Permissions you control
Access follows the team working on each matter. People see what they need, and their access changes when their role does.
Secure sharing with clients
Send files to clients and partners through links that expire or can be revoked, so copies do not stay in inboxes long after the work is done.
How it works
We set up the structure and manage it for you. Your team saves and shares files much as they do now, with fewer risks along the way.
We set up the structure
Spaces and libraries are created for each client group or matter type, using a layout agreed with you before anything is moved.
Access is matched to roles
Permissions are granted to groups rather than individuals, so joiners, movers and leavers are handled in one place.
Sharing expires by default
External links are time-limited and can be revoked at any time. Clients open the current version, so fewer stray copies end up in inboxes.
Retention keeps records in line
Retention rules keep files for as long as your record-keeping duties require, then remove them when they should go.
Why it matters for legal, financial services and insurance firms
Law firms
Matter files must stay confidential and easy to find. Clear permissions for each matter support the duty of confidentiality you owe clients. IT for law firms
Financial services
Client onboarding records and account documents need to be controlled and retrievable. Expiring links and clear permissions reduce the chance of data reaching the wrong person. IT for financial services
Insurance
Claims files and policy documents hold personal data. Controlled sharing with partners and loss adjusters keeps it with the people who need it. IT for insurance

Frequently asked questions
Can we keep our current folder structure?
Usually, yes. We map your existing folders into a structure that suits client work, and agree the changes with you before anything moves.
Can clients open files without an account?
Clients receive a secure link. You choose who can open it, and you can set it to expire or revoke it at any time.
What happens to files when someone leaves?
Their access is removed, and their work stays with the client or matter it belongs to. Retention rules then decide how long records are kept.
Does retention delete files automatically?
Only when your retention rules say so. We agree the periods with you and set rules that keep records for as long as you need them.
